Hosted by the Medical College of Wisconsin, the Society of Black Academic Surgeons (SBAS) 35th Annual Meeting will bring together 450 African American surgeons, residents, and fellows with a mission of improving health, advancing science, and fostering careers of African American and other underrepresented minority surgeons.

Hotel Reservations:
Standard Guestrooms: Single/Double rate is $229 USD per night. The guestroom block is available until Tuesday, August 28, 2025. Rooms are limited, so reserve now to ensure you get the SBAS rate.

Reservation Cancellation: To avoid a one-night room and tax charge, individual reservations must be canceled at least forty-eight (48) hours prior to scheduled arrival.
POLICIES & PROCEDURES
The exhibits are an extension of the continuing education program of the SBAS 35th Annual Scientific Meeting. For an application to be accepted by SBAS, the products and services must be related to the practice of surgery or medicine. Exhibitors may only display products and services that they manufacture or distribute. All exhibiting companies’ products and services must be approved by the SBAS Exhibit Manager. SBAS reserves the right, even after an application has been approved, to refuse exhibits, curtail activities, or close exhibits or parts of exhibits that do not comply with its rules and regulations.
CANCELLATIONS & REFUNDS
To be eligible for a refund, SBAS must receive written noti?cation of space cancellation on or before June 30, 2025. A 50% service fee will be assessed for any space canceled before June 30, 2025. No refunds will be given after June 30, 2025.
Any space not occupied by noon on Thursday, September 18th, will be forfeited by the exhibitor.
FDA REGULATIONS
Exhibitors must abide by all applicable Food and Drug Administration (FDA) regulations, including but not limited to any or all approved requirements. Exhibitors are reminded that the FDA prohibits the advertising or other promotion of investigational or unapproved drugs and devices and forbids the promotion of approved drugs or devices for unapproved uses. ON-SITE SALES
Exhibitors can solicit sales and take orders only within the exhibit hall. No sales or other activity is
allowed outside the exhibit hall.
FOOD AND BEVERAGE:
Nonalcoholic beverages and food products are permitted in your booth only if ordered or approved by the hotel’s food and beverage department. Popcorn and peanuts are not allowed.
SPECIAL RESTRICTIONS
- Giveaways are permitted only if approved by SBAS prior to the meeting.
- Fire hose cabinets and exits must always be left accessible and in full view.
- Decorations and displays must either be of non-flammable material or be treated by an approved fire prevention method. All display materials must be flameproof and are subject to inspection by the Sacramento Fire Department. No flammable fluids or substances may be used or shown.
- Displays may not be dismantled or packing begun before Sunday, September 21.
SECURITY
SBAS cannot guarantee or assume any liability against loss or damage of any kind but will endeavor to protect exhibitors by providing a security guard after meeting hours.
SIGNS/ANNOUNCEMENTS
No signs, posters, or brochures will be allowed in the hotel except within each exhibitor’s booth. No signs or other articles are to be fastened to walls or electrical fixtures. The use of thumbtacks, tape, nails, screws, bolts, or any tool or material that could mark the walls or floor is prohibited.
EXHIBITOR EVENTS
Exhibiting companies may not conduct meetings or events during the 2025 SBAS Annual Meeting without prior written approval, including all symposia, lectures, focus groups, sessions, and social events.
FORCE MAJEURE
The performance of this Agreement by either party is subject to acts of God, war, government regulation, disaster, fire, epidemic, threatened or imminent strikes, civil disorder, pandemic curtailment of transportation facilities, threats or terrorist attacks, or other similar occurrence beyond the control of the parties, making it illegal, impossible, or commercially impractical to carry on the SBAS Annual Meeting or fully perform the terms of this Agreement. This Agreement may be terminated, or performance may be excused without penalty for any of such reasons by written notice from one party to the other.
